Privacy notice

Student information deserves clear boundaries.

This notice explains how ClearCode Reading (“ClearCode,” “we,” “us,” or “our”) handles personal information across our public website, authenticated portal, and iOS app.

The short version

Education only

We use student information to provide and support reading instruction, authorized progress visibility, and related operations.

No data sales

We do not sell personal or student information or use educational records for behavioral advertising.

Access is limited

Roles, school or center relationships, guardian relationships, and consent determine what each authorized user can see.

Authorized users may request access, correction, or deletion, subject to identity verification and school or legal recordkeeping duties.

1. Scope and roles

Where this notice applies

This notice applies to ClearCode’s public website, consultation and newsletter forms, authenticated web portal, and ClearCode Reading iOS app. Separate agreements with a school, center, employer, contractor, or service provider may add terms for a particular relationship.

A participating school or center may control education records that ClearCode processes on its behalf. In those cases, requests about a student record may need to be handled by or coordinated with that organization.

2. Information we handle

Information depends on how you use ClearCode.

Account and relationship information

Name, email address, role, organization, school or center membership, authorized guardian relationships, account identifiers, and permission settings.

Student and instructional information

Student name, grade or learning profile, placement evidence, assessments, session records, accuracy, mastery, fluency, observations, instructional notes, home-practice guidance, and consent history.

App, device, and security information

App version, installation identifier, optional push-notification token, device environment, sign-in and audit events, IP address, request time, and technical or security diagnostics.

Information you submit publicly

Consultation, survey, newsletter, career, support, and privacy-request information, including contact details, messages, preferences, and documents you choose to provide.

Workforce and operational information

For workers and contractors, ClearCode may maintain role, engagement, assignment, credential, agreement, compliance, compensation, payable, and provider-status information. Sensitive tax, banking, identity, and tax-form details are collected and held by the applicable specialized provider rather than in ClearCode’s operational database.

We receive information directly from users, authorized guardians, schools and centers, specialists and administrators, devices using the service, and service providers that support authorized operations.

3. How we use information

We use information for defined service purposes.

  • Authenticate users and enforce role, relationship, and consent-based access.
  • Provide placement, instruction, session logging, progress reporting, scheduling, and support.
  • Maintain authorized family, specialist, school, and center workflows.
  • Protect the service, prevent misuse, investigate incidents, and preserve audit records.
  • Respond to consultations, support requests, privacy choices, and other communications.
  • Meet contractual, regulatory, legal, accounting, and recordkeeping responsibilities.
  • Improve reliability and usability using operational information, not behavioral advertising.
  • Send optional updates when a person affirmatively subscribes, with an unsubscribe path.

4. When we disclose information

We disclose information only for legitimate operations.

Depending on the service and authorization, information may be available to the school or center responsible for the learner, assigned specialists and administrators, and verified guardians. Each user receives only the access supported by their role and relationship.

We may use vetted providers for hosting, communications, security, support, and other service operations. They may process information only to perform services for ClearCode and are expected to protect it under applicable contracts and law.

We may also disclose information when required by law, to protect safety or legal rights, to investigate misuse, during a business transaction with appropriate safeguards, or when an authorized person or organization directs or consents to the disclosure.

ClearCode does not sell personal or student information.

We do not use educational records for cross-context behavioral advertising and do not permit third-party advertising networks in the iOS app.

5. Student and children’s privacy

Accounts and records follow an authorized educational relationship.

The ClearCode app does not offer children an open public account-creation flow. Student information is provided or authorized by a parent or guardian, school, center, specialist, or administrator with an educational relationship to the learner.

When ClearCode processes education records for a school or center, we use those records to provide the contracted educational service, follow the organization’s authorized instructions, limit redisclosure, and support the organization’s responsibilities under applicable student-privacy law and agreements.

Where the Children’s Online Privacy Protection Act applies, ClearCode relies on appropriate parent, guardian, or school authorization and limits collection to information reasonably necessary for the educational service. A parent or guardian may use the privacy-choice process below, subject to identity and relationship verification.

ClearCode provides educational reading instruction. It is not a medical diagnosis, treatment, or therapy service.

6. Security and retention

We use layered safeguards and keep information only as needed.

Safeguards include encrypted network connections, authenticated access, role and relationship checks, protected mobile credential storage, file protection for authorized offline app data, audit logging, and access-limited operational systems. No security program can guarantee that an incident will never occur.

We retain information for as long as reasonably necessary to provide the service, maintain instructional and audit continuity, satisfy school or center directions, meet contractual or legal duties, resolve disputes, and protect the service. Retention varies by record type and relationship. When information is no longer required, we delete it, de-identify it, or restrict it as appropriate.

The iOS app stores authentication credentials in the device Keychain and protects cached bootstrap information and pending session submissions using iOS file protection. Pending session data is removed after the server acknowledges successful submission.

7. Your privacy choices

Ask to access, correct, or delete information.

Use the support form and select “Access, correction, or deletion request.” Tell us what you are requesting and your relationship to the account or learner. Do not send passwords, identity documents, or full student records in the initial message.

We may verify identity and authority before acting. If a school or center controls the record, we may direct the request to that organization or coordinate the response with it. Some information may be retained when required for education records, security, contracts, legal duties, or documented transactions.

You may also unsubscribe from optional marketing email using the link in each message, control notifications in device settings, and sign out of the app to remove local credentials and authorized cached data.

We will keep this notice current.

We may update this notice as the service, providers, or legal requirements change. We will post the revised notice here, update its effective date, and provide additional notice when a material change requires it.
